The Sonic Team: Keeping Your Packaging Project on Track from Order to Shipment
Dedicated project management that coordinates the details and keeps you informed through production, quality review, and delivery.A packaging order sets a series of connected tasks in motion. Materials must arrive, artwork needs approval, and production depends on having the right information and components in place. At Sonic Packaging, a dedicated project manager coordinates those details from purchase order through final shipment, giving you a primary contact who keeps you informed as the work progresses.
Helen Belevan, Manager of our Project Management Department, brings 13 years of experience at Sonic Packaging to her role. She oversees the team that organizes timelines, coordinates with our partners, and helps customers work through challenges along the way.
For your team, that means knowing who to call, what is needed next, and how decisions or changes may affect your project.
Aligning the Details Before Work Begins
Once your order is placed, we confirm the requirements and delivery expectations. For new customers or products, our project management team meets internally with the sales account manager and quality team to clarify questions and establish a shared understanding of the work.
Having the following information ready helps us move forward:
- Your purchase order and quantities
- Product specifications and packaging requirements
- Artwork and any testing or special requirements
- Your requested delivery date
If details are missing, we walk you through what is needed and coordinate materials and approvals with you. Early follow-up helps prevent an unanswered question or outstanding approval from becoming an avoidable delay.
Your project manager stays involved as the order progresses, coordinating with suppliers, the filling plant, and our internal teams.
Building a Schedule Around Your Launch
A firm launch date gives us a starting point for planning. We work backward from that date, reviewing material lead times, artwork approvals, production availability, testing, and shipping. Suppliers and filling plants help us confirm what is achievable.
We then review the key deadlines with you. If the schedule is too tight, we discuss options early while allowing time for the quality checks and other required steps.
It is also important to understand when a production date is tentative. A filling plant may offer an estimated start date based on expected component arrivals. Once all required components are at the plant, it can confirm the production schedule. Delayed shipments, damaged materials, or outstanding testing and approvals can still affect timing.
We monitor those dependencies and communicate changes as early as possible so you can plan with current information.
Coordinating Materials Through Production
After confirming specifications and artwork approvals, we order packaging components and track their delivery along with any items you supply. Each component has its own lead time, making coordination with suppliers and the filling plant essential.
When you supply the bulk product, we also coordinate when it will be ready. If it is available before the packaging components arrive, we ask you to ship it so required microbiological testing can begin. Having those results available before production helps keep that requirement from holding up the next stage.
Once materials have arrived and the necessary approvals are complete, we coordinate production with the filling plant and monitor filling and packaging. If a component delivery date changes, we keep you and the filling plant informed while working through the next steps.
Throughout the project, you receive updates on material deliveries, approvals, production, testing, and shipment. We stay in regular contact by email and phone, reaching out promptly when we need information or an approval, or when something could affect the schedule.
Following Through on Quality and Release
Our coordination continues after filling and packaging. Depending on the product, release requirements may include microbiological testing, a final quality review, and documentation such as a certificate of analysis or certificate of conformance.
We follow up with the filling plant on test results and documentation, then confirm that the product has been approved for release. Once those requirements are complete, we obtain the shipping details and share them with you.
Including these steps in the project plan helps you understand the time needed between production and shipment. You remain informed as the product moves through the reviews required for release.
Resolving Issues With the Right People
When a packaging component has a quality issue, we begin by gathering the facts. Photos, samples, lot information, and details about the effect on production help establish what happened. We bring the supplier, filling plant, and our internal team together to review the findings and agree on corrective action.
Options may include replacement or rework. We explain the proposed solution and timing to you, then follow through until the issue is resolved and the components meet the agreed requirements.
Quality challenges can also arise during final product review. Helen recalls one project in which the product did not meet a required specification. Our team coordinated a corrective plan with the filling plant and quality team, arranged updated samples for customer approval, and expedited replacement packaging materials.
Regular communication kept the customer informed throughout the correction. The response helped preserve a usable product, reduce additional delays, and confirm that the corrected product met requirements before release.
Making the Partnership Easier for You
You can help keep your project moving by providing complete details at the start, responding promptly to questions and approval requests, and notifying us early about changes to quantities, requirements, or launch dates. That information helps us plan accurately and address challenges before they affect more of the schedule.
Our responsibility is to keep the work coordinated and follow through when you need support. Helen says customers appreciate the team’s communication and responsiveness, including help navigating a major backorder situation.
Another customer put it simply: “You make my job so easy.”
That is what our project management team works toward with every order. By coordinating the details and keeping you involved, we help make the path from purchase order to shipment easier to manage.
